Format for Research Project Progress
and Related Financial Reports
Deadline: March 29, 2010

All projects funded in 2009-10 are required to submit a progress and financial report to the Statewide IPM Program by March 29, 2010 and a second financial report by August 23, 2010. The progress report should briefly document progress since July 1 for projects in their first year or since the last progress report for continuing projects. For a project not in its last year, the report serves as justification for project continuation and the next year's budget request. The financial reports will be used for auditing purposes.

What to submit: Send one (1) paper copy of the progress and financial reports, and one (1) electronic version of the progress report. You may send the electronic version of the progress report on a CD-ROM and note on the label the word processor that was used to generate the report, or you may send the electronic version via e-mail to ipmgrants@ucdavis.edu.

Where to submit: Send or deliver printed and CD copies to Director, Statewide IPM Program, University of California, One Shields Avenue, Davis, CA 95616-8621.

PROGRESS REPORTS:

Length and format: Progress reports and/or revised proposals must be 10 pages or less, double-spaced, 12-point font, with one-inch margins, not including tables and figures that summarize research results. Reports should follow the format listed below. Do not attach manuscripts or reprints. Double-sided copying is encouraged.

OBJECTIVES AND TIMETABLE

  1. Restate objectives and timetable for all years as stated in original funded proposal.  Do not simply refer to original proposal.
  2. Note and justify revisions in original objectives and/or timetable.

RESPONSES TO QUESTIONS IN FUNDING LETTER

Please respond to specific questions or comments of the reviewers as noted in your funding letter for 2008-09. Restate the question or comments and give an answer. Attach a copy of the funding letter to your report.

LAY SUMMARY OF ACCOMPLISHMENTS

Summarize the accomplishments of your project to date and especially your progress in the last year. Where possible, relate accomplishments to practical applications for growers or pest managers in the field. Do not restate the goals of your project or present a lengthy justification. The objectives (above) and this summary will appear in the UC IPM research grants database on the Web, so express yourself in lay terms and avoid technical jargon. Limit the summary to 250 words on 1 double-spaced page.

BUDGET

List your actual past and projected years' budgets, as indicated in the funding letter from the UC IPM Director, and as itemized in your approved budget. Describe and justify any requested changes to next year's budget, even if the total is the same or less than originally proposed.

ACCOMPLISHMENTS FOR CURRENT YEAR

Do not refer to previous years' progress reports since some reviewers may not have access to them. For each objective, use the following format:

Objective 1. Restate the objective.

  1. Summarize the activities that are unde way to accomplish this objective.
  2. How do the procedures differ from those outlined in the original proposal?
  3. Provide interim results and discussion. Where appropriate, include clearly labeled summary tables and graphs. Do not include extensive tables of raw data.

RESEARCH SUCCESS STATEMENTS

In a few sentences, detail the benefits of this research program to end users (e.g., growers, land managers, residential users). This is different from the lay summary. The summary covers the results from the past year; the Research Success Statements should quantify what the research means to the end users, e.g., "this research provides (end users) with the essential tools to manage…"

STUDENTS SUPPORTED

Supply the number of graduate students and the number of undergraduate students supported by the grant for 2009-10 only.

FUNDING LETTER

Attach a copy of your 2009-10 funding letter at the end of the progress report.

FINANCIAL REPORTS

A copy of the University (or official) ledger, showing all expenditures for the period July, 2009 through February 2010 is to be submitted with the progress report, and a copy of the University (or official) June Final 2010 ledger is due no later than August 23, 2010. A reminder will be sent to you in July 2010.
